IMN Solutions is a fast growing, Association and Event Management Company. The Account Director will manage a portfolio of accounts and will work directly with an IMN project team, IMN clients and various industry suppliers. The goal is to ensure all client needs are met and expectations exceeded. Core job responsibilities require strong professional customer service, teamwork, project management, organizational skills, ability to multi-task, have a keen eye for details, creative thinking and problem solving. The account portfolio will be varied and multi-dimensional. This position will be committed to the Sourcing and Contract division 100% of the time.

Primary Responsibilities:

  • Handle all aspects of sourcing and contracting client meetings to include site selection, contract negotiation and other client services as needed. Prepare meeting specifications, RFP’s, track responses, create options reports, contracts, and various supporting documents following IMN SOPs.
  • Enter and Manage client leads (Request for Proposals) in Cvent 
  • Handle supplier inquiries on lead status and follow up on all leads with industry suppliers to ensure a quick response for the client (typically three days, although times vary)
  • Produce, edit and deliver options reports and/or client for review, as applicable and make recommendations based on knowledge of client needs and knowledge of hotels.
  • Negotiate best meeting package and terms for client meeting IMN Solutions standards and client needs.
  • Engage Convention and Visitor Bureaus and hotel brands to develop superior proposals including seeking any financial support for clients that may be available through CVB sources.
  • Construct City Wide packages to align with client member preferences and patterns
  • Work with Convention Centers (if applicable) to get most favorable terms and pricing on behalf of clients.
  • Work with destinations and hotels to arrange site visits for clients and Account Lead. Create site visit itinerary to be shared with client, CVB and hotels.
  • Draft, negotiate and ratify client meeting hotel contract based on negotiations and meeting all SOPs.
  • Produce and submit weekly pace reports of room block pickup using a spreadsheet format for distribution to client.
  • Collect final hotel pick-up reports, food & beverage history and AV/Internet usage report. Ensure hotel room pickup audit is performed at the conclusion of each meeting. Submit final pickup to accounting for commission invoicing.
  • Ensure multi-year client history reports are maintained
  • Create booking timelines and develop strategies with clients to ensure they are capitalizing on opportunities to get the best terms and pricing for their meetings.
  • Review and report to client final hotel pick-up reports, food & beverage history and AV/Internet usage report.

Client Services:

  • Responsible for understanding the established SOP’s for IMN client accounts.
  • Advise clients on best meeting venue options and trends in the hotel industry.
  • May be asked to assist and negotiate other vendor contracts if within scope of work and work in tandem with client vendors when needed to ensure smooth meeting operations and transitions.
  • Deliver exceptional customer service with mutual professional respect.
  • Work directly with client and/or hotels to resolve service issues or contract interpretation challenges.
  • Produce and present annual client business review.

Database & Internal Support:

  • Ensure all account data is entered into IMN’s database in a timely and efficient manner
  • Create and maintain client information electronically
  • Work in a highly collaborative team environment

  • Train, oversee and prioritize the work of project teams when holding a lead position

Requirements:

  • Bachelor’s Degree preferred
  • 5+ Years Hotel Sales, Contract Negotiations or Meeting planning experience
  • Must be comfortable conducting video calls with clients
  • Strong knowledge or experience in project management, contract negotiations and meeting planning
  • Proficient in Microsoft Office; Adobe Acrobat; database management; Knowledge in Cvent, SmartSheet and HubSpot a plus
  • Attention to detail; organization skills; ability to multi-task; interpersonal communication; strong negotiation tactics, strategic and analytic thinking are essential
  • This position will require travel to client meetings, industry events and site visits; averaging 4-6 trips per year.
  • Must be able to work independently from home and provide a professional setting from which to conduct video and telephone calls.
  • Knowledge of convention hotel industry in major cities within the Continental US
  • Salary range between $78,000 and $90,000 based on experience
